Regulations for Granting Patronages by the e-Chamber of Digital Economy

I. General Provisions

§ 1

In these Regulations for granting patronages by the e-Chamber of Digital Economy, hereinafter referred to as the “Regulations,” the following terms shall be understood as follows:

  1. “e-Chamber” – the e-Chamber of Digital Economy, based in Warsaw, at 18 Łucka St., Apt. 76, 00-845 Warsaw, registered in the register of associations, other social and professional organizations, foundations, and independent public health care institutions, as well as in the entrepreneurs’ register of the National Court Register under number 474028, with its registration documents kept by the District Court for the Capital City of Warsaw, 13th Commercial Division KRS, NIP 701-039-19-22, REGON 146832492;
  2. “Applicant” – the organizer or co-organizer of the Event applying for the patronage of the e-Chamber;
  3. “Event” – an event that, according to the Applicant’s request, is to be granted patronage by the e-Chamber, in particular: a conference or webinar.

§ 2

1. These Regulations define the rules for applying for e-Chamber patronage over an Event, the rules for granting patronages, and the scope of services provided by e-Chamber resulting from obtaining its patronage.
2. The patronages granted by the e-Chamber aim to support Events that align with the statutory goals of the e-Chamber, particularly those contributing to the development of entrepreneurship in the digital economy sector or addressing issues important from the perspective of the digital economy.

        II. Applying for Patronage and Granting Patronage to an Event

        § 3

        1. In order to obtain the e-Chamber’s patronage over an Event, it is necessary to submit a request based on the e-Chamber’s provided application template (Application for the e-Chamber’s Patronage over an Event).

        2. The application can be submitted in written form, as a document with a scan of the signed application attached via email, or via an online form if e-Chamber provides such a possibility.

        3. The application must be signed in accordance with the rules for representing the Applicant, and if submitted by an authorized representative, a power of attorney must be attached to the application.

        § 4

        1. The application must contain:

        1. Applicant’s data, and if the Applicant is a co-organizer of the Event, the data of other co-organizers;
        2. Email address and phone number for contact with the Applicant;
        3. Information about the Event, including: its date, subject, detailed agenda, list of speakers, information about other entities providing patronage, information about Event sponsors, website address of the Event, expected number of participants, and whether participation in the Event is paid;
        4. Event regulations or information that the Event has no regulations;
        5. Information whether the Event is a one-time event or a subsequent edition of the same Event.

        The application may also include a justification for applying for the e-Chamber’s patronage.

        e-Chamber notes that granting patronage to an Event organized or co-organized by entities that are neither members nor partners of the e-Chamber, as defined by its Statute, is subject to a fee. This rule may be waived only in particularly justified cases.

        § 5

        1. e-Chamber may require the Applicant to provide additional explanations, information, or documents within a specified deadline, not shorter than 3 days.
        2. e-Chamber will review applications for patronage within 21 days from the date of receipt. The time spent by the Applicant in fulfilling the request mentioned in the previous paragraph is not included in this period.

          § 6

          e-Chamber may refuse to grant patronage to an Event if:

          1. Granting patronage would not contribute to achieving the statutory goals of the e-Chamber or would be contrary to them;
          2. The Event promotes or addresses issues that are contrary to law or good manners or contributes to the promotion of behaviors contrary to law or good manners;
          3. The Event’s agenda, including the selection of speakers, does not guarantee a high level of expertise;
          4. The Applicant has not fulfilled e-Chamber’s request within the specified time, as outlined in § 5(1) of these Regulations;
          5. Due to the late submission of the application in relation to the deadline set in § 5(2), the application would be reviewed after the Event had already taken place.

          § 7

          1. e-Chamber will inform the Applicant by email about the decision to grant or refuse patronage to the Event.
          2. An Applicant who is not a member or partner of e-Chamber, as defined by its Statute, is required to pay e-Chamber a fee of PLN 8,000 net for the patronage of the Event within 14 days from the date of receiving the information about the patronage.

            III. Services Provided by e-Chamber

            § 8

            1. e-Chamber, in exchange for patronage granted to an Event, will:

            1. Post information about the Event on a selected communication channel or channels of e-Chamber, such as the e-Chamber website, communication with e-Chamber members, or e-Chamber’s social media channels;
            2. Grant the Applicant a non-exclusive license, without the right to sublicense, to use the logo provided by e-Chamber. This license is time-limited to 30 days after the Event’s conclusion and is only valid for the use of the logo on the Event’s website, social media profiles, and promotional materials, with a clear indication that e-Chamber is the Event’s patron. This license may be revoked immediately if e-Chamber decides to withdraw its patronage from the Event.

            2. All materials for posting the Event information, as specified in § 8(1)(a), must be sent by the Applicant via email to the address from which they received information about the patronage. The materials should be submitted with sufficient advance notice, not shorter than 7 days before the Event, unless e-Chamber explicitly agrees to a different deadline. Failure to meet this deadline may result in e-Chamber not fulfilling its service as described in § 8(1)(a).
            3. Specific requirements regarding the materials, including their volume, will be provided by e-Chamber to the Applicant via email. The promotional graphic for the Event with the e-Chamber logo must have dimensions of 2240×1260.

              IV. Withdrawal of Patronage

              § 9

              1. e-Chamber may withdraw its patronage from the Event if:

              1. The Applicant has delayed payment of the fee for the patronage of the Event;
              2. After granting patronage, e-Chamber receives information that, based on § 6 of these Regulations, may justify refusal of the patronage.

                2. § 7(1) of these Regulations applies accordingly.

                V. Final Provisions

                § 10

                Any disputes arising from these Regulations will be resolved amicably. If it is not possible to resolve the dispute amicably, it will be settled by the common court with jurisdiction over the e-Chamber’s registered office.
