Regulations for granting patronage by the e-Chamber
by the Chamber of Digital Economy

I. General Provisions

§ 1

In these Regulations for the granting of patronage by the Chamber of Digital Economy, hereinafter referred to as the “Regulations”, the following terms shall be understood to mean:
a. “e-Chamber” – the Chamber of Digital Economy, based in Warsaw, ul. Łucka Street 18 lok. 76, 00-845 Warsaw, registered in the register of associations, other social and professional organizations, foundations and independent public health care institutions, as well as in the register of entrepreneurs of the National Court Register under number 474028, whose registration files are kept by the District Court for the city of Warsaw. Warsaw, XIII Economic Department of the National Court Register, NIP 701-039-19-22, REGON 146832492;
b. “Applicant” – the organizer or co-organizer of an Event who applies to the e-Council for patronage of the Event;
c. “Event” – an event that, according to the Applicant’s application, is to be covered by the e-Chamber’s patronage, in particular: a conference or webinar.

§ 2

1. The Regulations set out the rules for applying for patronage of an Event by e-Chamber, the rules for granting patronage and the scope of e-Isba’s benefits resulting from obtaining e-Chamber’s patronage.
2. Patronages granted by the e-Chamber are intended to support Events that are in line with the statutory objectives of the e-Chamber and, in particular, contribute to the development of entrepreneurship in the electronic economy sector or deal with issues relevant from the perspective of the electronic economy.

II. Applying for patronage and patronage of the Event

§ 3

1. In order to obtain the patronage of the e-Chamber for an Event, it is necessary to submit an application based on the application template provided by the e-Isba (Application for patronage of an event by the Chamber of Digital Economy).
2. The application may be submitted in writing, in documentary form with its limitation to an e-mail with an attached scan of the signed application for patronage of the Event, or by means of a web form, if the e-Chamber provides such a possibility.
3. The application must be signed in accordance with the Applicant’s representation, and if the application is submitted by an attorney, it is necessary to attach a power of attorney to the application.

§ 4

1. The application must include:
a. The data of the Applicant, and if the Applicant is a co-organizer of the Event, also the data of the other co-organizers,
b. e-mail address and telephone number for contacting the Applicant,
c. information about the Event, in particular: its date, subject matter, detailed agenda, list of speakers, information about other entities that have granted patronage, information about sponsors of the Event, web address of the Event’s website, expected number of participants, and information whether there is a fee for participation in the Event,
d. regulations of the Event or information that the Event does not have regulations,
e. information whether the Event is a one-time event, or whether it is a consecutive edition of a particular Event,
2. The application may also include a justification for applying for e-Chamber patronage.
3. The e-Chamber notes that the patronage of an Event organized or co-organized by entities that are not a member or partner of the e-Chamber within the meaning of its Articles of Association is chargeable. This rule may be waived by the e-Chamber only in particularly justified cases.

§ 5

1. The e-Chamber may require the Applicant to provide additional clarifications, information or documents within a period specified by the e-Chambery, but not less than 3 days.
2. The e-Chamber shall consider applications for patronage of an Event within 21 days of receipt. The running of this time shall not include the days from the date of sending the request referred to in the paragraph above to the date of execution of the request by the Applicant.

§ 6

The e-Chamber may refuse to patronize an Event if:
a. patronage of the Event will not contribute to or be in conflict with the statutory objectives of e-Chamber;
b. The event promotes or raises issues that are contrary to the law or good morals, or contributes to the promotion of behavior contrary to the law or good morals;
c. the agenda of the Event, including the selection of speakers, will not vouch for its high level of content;
d. The applicant has failed to timely fulfill the e-Chamber’s request referred to in Paragraph 5 of Section. 1 of the Regulations;
e. due to the late submission of the application in relation to the deadline set forth in § 5 (1) 2 of the Regulations, the application would have already been processed after the Event took place

§ 7

1. The e-Chamber shall inform the Applicant by e-mail about the patronage or refusal to patronize the Event.
2. An applicant who is not a member or partner of the e-Chamber within the meaning of its Articles of Association shall be obliged to pay the e-Chamber a fee in the amount of PLN 8,000 net for patronage of the Event within 14 days from the date of receipt of information on its granting.

III. e-Chamber benefits

§ 8

1. e-Chamber under the patronage granted to the Event:
a. will post information about the Event in a channel of his/her choice or in e-Chamber communication channels of his/her choice, such as on the e-Chamber website, in communication with e-Isba members or in e-Chamber social channels;
b. grants to the Applicant a non-exclusive license, without the right to sublicense, to use the logotype provided to the Applicant by e-Chamber. This license is time-limited until the 30th day after the end of the Event and covers only the field of exploitation in the form of placing the logo on the Event’s website, the Event’s social media profiles and promotional materials related to the Event with a clear distinction that e-Chamber is a patron of the Event. At the same time, this license is terminated with immediate effect in the event that the e-Chamber decides to revoke the patronage of an Event;
2. Any material that will form the basis for the e-Chamber’s posting of information about the Event in accordance with § 8 (1). 1 (a) of the Rules and Regulations, the Applicant will send an e-mail to the address from which he or she received information about the patronage of the Event. These materials must be submitted well in advance, which must not be less than 7 days before the Event, unless the e-Chamber has expressly agreed to a different date. In the event of a violation of this deadline, the e-Chamber may fail to provide the benefit referred to in § 8 (1). 1 lit. a.
3. specific requirements for the above materials regarding, among other things. their volume, will be communicated to the Applicant by the e-Chamber in e-mails. Graphics promoting the Event with the e-Chamber logo must be 2240×1260 in size.

IV. Withdrawal of patronage

§ 9

1. The e-Chamber may withdraw patronage of an Event if:
a. The Applicant is behind schedule in paying e-Chamber’s fees for patronizing the Event;
b. after the Event has been patronized, the e-Chamber will obtain information that, pursuant to § 6 of the Regulations, could justify the refusal to patronize the Event.
2 The provision of § 7 para. 1 of the Regulations shall apply accordingly.

V. Final Provisions

§ 10

Any disputes arising under the Regulations will be resolved amicably. If it is not possible to resolve a given dispute amicably, it will be resolved by the common court with jurisdiction over the address of the e-Chamber office.
